For equipment moving between the United States and Canada, the right process depends on the machine, its value, its dimensions, its condition, and whether it is being sold, leased, repaired, or temporarily moved for a project. A compact skid steer and a 90,000-pound excavator do not face the same transportation requirements. Both, however, need accurate documentation, a qualified carrier, and a border plan built before the trailer arrives.
Start With the Equipment and Its Purpose
The first question is not which carrier has availability. It is what exactly is crossing the border. Record the manufacturer, model, year, serial number, purchase price or declared value, weight, dimensions, fuel type, and operating condition. Clear photos of the machine, identification plates, attachments, and any existing damage also protect everyone involved when the equipment changes hands.
Next, establish why the equipment is moving. A permanent sale or purchase generally follows an import and export process. A temporary move for a construction contract, trade show, repair, warranty work, or seasonal project may require different customs treatment. The paperwork, taxes, and potential duty exposure can change based on the intended use and the length of time the machine will remain in the destination country.
Ownership matters as well. Customs authorities need a clear chain of title or a commercial basis for the movement. A bill of sale, commercial invoice, lease agreement, purchase order, or repair authorization may be appropriate depending on the transaction. Confirm whether the machine is road-regulated
Not every piece of heavy equipment is treated like a passenger vehicle. A lowboy, step deck, removable gooseneck trailer, multi-axle configuration, or specialized hauling setup may be necessary depending on ground clearance, axle distribution, height, and attachment configuration.
Measure the equipment after it is prepared for transport, not from a brochure. Buckets, booms, counterweights, tracks, tires, forks, and hydraulic attachments can change the final dimensions. In some cases, an attachment should be removed and shipped separately to reduce height or width. That may add handling steps, but it can prevent a more expensive route, additional escort requirements, or clearance issues.
Oversize and overweight permits are issued by the jurisdictions the truck will travel through. A route that looks direct on a map may be unavailable because of bridge limits, road restrictions, seasonal bans, construction, or border-port access limitations. Prepare the Machine Before Pickup
A clean, accessible machine is easier to inspect, load, and clear. Remove loose tools and personal items from cabs and storage compartments. Secure doors, panels, batteries, and detachable components. Retract booms and lower attachments according to the carrier’s loading instructions.
Fuel requires special attention. Most heavy equipment moves with limited fuel, but the appropriate level depends on the machine type, carrier policy, and applicable transportation rules. Leaks, damaged hydraulic lines, and unsecured batteries should be addressed before pickup. A carrier may refuse a machine that presents a safety risk, and a border delay is a poor time to discover a fluid leak.
Document the machine’s condition before loading. Timing matters. A machine that arrives before export documentation is accepted may need to wait offsite. A load arriving during a busy commercial period can also encounter longer processing times. Build reasonable flexibility into the pickup and delivery schedule, particularly for wide, high, or multi-axle loads that cannot easily be rerouted.
Communication between the shipper, carrier, customs representative, buyer, and receiving site is essential.
